Wrong photo, missing exam subject

Mr. LTA (60 years old, permanent resident of Xa Bang commune, Chau Duc district, Ba Ria-Vung Tau) graduated from high school in 1976 in Quang Tri. This year, Mr. A. registered to take the exams in literature, history, and geography to get the results for university admission. On June 16, Mr. A.'s family went to the Ministry of Education and Training's representative office in Ho Chi Minh City to get the exam notice.

Previously, there was also candidate TVL (59 years old, currently a medical doctor working in Ho Chi Minh City, residing in Binh My Commune, Cu Chi District), who registered to take the national high school exam this year. Mr. L. graduated from high school in 1978, then attended a secondary school and has worked in the medical field since then. Mr. L. plans to apply for admission to the pharmaceutical industry.

According to information from the Department of Education and Training of Tien Giang province, by the end of June 16, 5-6 cases of candidates having errors in exam subjects, exam photos, and graduation information were left blank... Mr. Le Ngoc Linh, Head of the Department of Examination and Education Quality Management of this department, said that every year the department could simply resolve the above errors, but now it is facing difficulties due to the common software.

According to Mr. Linh, the most worrying thing is the error in the exam subject. Up to this point, the department is not authorized to edit the candidate's profile, so it has contacted Tien Giang University to find a solution. However, this unit said it could not do so because the software was locked. "According to regulations, by June 30, candidates must go to the exam site to correct errors during the exam registration procedure. Other errors are not mentioned, but the error in the exam subject cannot be corrected at that time because the exam councils have finished arranging the registration numbers. This error occurred during the data entry process, not the candidate's error," Mr. Linh wondered.

Mr. Pham Thanh Ha, Head of the Examination and Education Quality Management Department of Gia Lai Department of Education and Training, worried: “In previous years, the photos on the exam notice were hand-pasted, this year the photos are scanned into the computer and printed out. The data processing process can lead to incorrect photo merging. If we wait until the exam registration procedure to edit, we will encounter many difficulties.”

The Department of Education and Training of Tra Vinh province discovered that a candidate had the wrong photo because there were two candidates with identical names. Mr. Tran Ngoc Minh, Head of the Department of Examination and Education Quality Management, said that after discussing with the university hosting the examination cluster, they agreed to temporarily keep the current photo list. The high school where the candidate studied will confirm the photo so that the candidate has a basis to request correction of this error on June 30.

Mr. Ha Huy Phuong, Deputy Head of the Examination and Education Quality Assessment Department of the Bac Ninh Department of Education and Training, said that some units reported errors and confusion about the names and photos of candidates or missing exam subjects. "The examination clusters will have to fix it if it is an error in receiving the application documents and not because the candidates registered incorrectly," Mr. Phuong said, emphasizing: "The regulations are created by humans, the important thing is to ensure the legitimate rights of candidates. If it is not the candidates' fault, there is no reason to make them suffer."

A representative of Tran Nhan Tong High School also informed that the exam papers for candidates will be distributed on June 17 and this work is expected to take place in just one day. Mr. Nguyen Quoc Binh, Principal of Viet Duc High School, said that the exam papers for candidates have been completed and there have been no reports of any errors.

Although the exam registration form data has been transferred to the application receiving points, up to now, the Department of Education and Training of Dong Thap province has not printed the exam registration form due to some errors in the candidate information. Explaining this, Mr. Ho Quoc Dung, Head of the Examination and Quality Control Department, said that if the exam registration form is printed and distributed to the candidates without correction, the errors will still exist. Therefore, the department is requesting the Examination Department to be allowed to edit the application forms at high schools with candidates who still have errors.

According to Mr. Nguyen Quoc Cuong - admissions specialist of the Ministry of Education and Training's representative office in Ho Chi Minh City, yesterday, there were more candidates complaining about missing exam subjects in their data. The agency has scheduled the candidates to contact again on June 19 to resolve the issue, after receiving an official decision from the Ministry of Education and Training.

Will report for resolution

Speaking to Thanh Nien late on June 16, Mr. Do Thanh Duy, Head of the Examination and Admissions Department, Department of Examination and Quality Assessment, Ministry of Education and Training, said: “The Ministry has not received any reports of errors or missing exam subjects. However, this is a complicated error in terms of resolution because the exam rooms are arranged by exam subject, making adjustments very difficult. The Ministry still receives many requests to change exam subjects according to the subjective wishes of candidates, but this is an issue that cannot be changed.” However, Mr. Duy affirmed: “For each error, the system will have to be reviewed. If it is a system error, it will have to be reported to the Ministry's leaders for a solution. The point of view is to ensure the maximum benefits of candidates.”

Mr. Duy added: After receiving the exam notice, candidates need to carefully review the contents on the exam notice, especially the personal information and wishes. If any errors are found, immediately notify the unit that returns the exam notice for timely support. If more than 1-2 days from the deadline, candidates do not receive the exam notice, they need to contact the place that receives the exam registration documents directly for instructions. In case the exam notice is lost, candidates should bring form No. 2 (the form with confirmation from the unit that receives the documents and returns it when the candidate submits the documents) directly to the examination council at the registered examination cluster at the meeting to disseminate the regulations (June 30) to complete the exam procedures.
